When working with customers by email, everyone has a case of a document not being received. With DocBoss, you send email notifications directly to your customers. Customers click on a link, and download the documents. DocBoss keeps track of who accesses them documents and when the documents were downloaded. We also alert you if documents have not been downloaded within a timeline you define.
How important is this to you?
Well, not only are you ensuring that your documents are received which is of course important but you are also taking into account another aspect of document delivery that we noted in our Supplier vs EPC survey when we wrote the following:
Almost all suppliers surveyed – a full 90% – reported using email regularly to send and track transmittals. By contrast, 49% of EPCs declared this to be their preference.
Using an EDMS like DocBoss allows detailed tracking for documents. Email for transmittal management has some significant drawbacks: searching to track down submissions; weak audit trails; and non-deterministic delivery (you don’t know if it was received). Interestingly, the majority of EPC respondents (68%) expressed a willingness to log into a vendor system to receive submissions.
So DocBoss enables you to automatically ensure that documents were received and accessed by your customers and further, you can set an expiry on the time in which your customers can access the link for security purposes if desired.
