The monthly document meeting with your EPC: what to walk in with
If documents are behind, or your customer thinks they are, the topic lands on the monthly progress meeting agenda, and…
Read NowTrack every revision, submittal, return status, and issue purpose against the document it belongs to. When your customer requests a progress update, the report exports directly from DocBoss in their exact format, not out of an afternoon in Excel.
Complete visibility over every date, revision, and reviewer action gives you total peace of mind and full control during customer check-ins.
Position
Where a document is, who has it, what it is waiting on, what issue purpose it is at. One place, for every document on the project.
Recall
Six months later, which revision went out on submittal 47 and what came back is a question with an answer, not an archaeology project through somebody’s email.
Reporting
Status updates for customer meetings, management reviews, or internal team syncs are created by the system automatically, turning hours of manual spreadsheet prep into an instant download.
Correction
Registers need correcting; that is ordinary document control. Entries can be edited, and edits are logged and flagged, so the list stays right without anyone rebuilding it.
Visibility
Small projects get the same tracking as large ones, because none of it depends on somebody having time to maintain a spreadsheet.
Schedule a demo to see how DocBoss holds complete submittal histories, keeps every prior revision, and gives your team instant clarity across every project.
Status, history, versions, and numbering, kept straight from the first submittal to the last.
One column carries the document’s status, where it physically is, who it is routed to internally, and its approval state. Click into it and DocBoss shows the path already travelled, where the document is now, and what is expected next.
Previous versions are kept and can be opened and compared in the viewer. When a customer asks what changed between revision B and revision C, or which version they approved, you can show them rather than describe it.
Document controllers change dates and statuses to get projects right, and DocBoss lets them. Historical entries are editable, changes are recorded against the entry, and the edited row is highlighted, so a corrected list stays a trustworthy working record instead of quietly becoming two records.
Documents no longer required stay on the list with their history intact and can still appear in reporting. The record of a document that was dropped answers the question that comes up later about why it is not in the book.
Each document holds its own history: every submittal in and out, with dates, submittal numbers, revision numbers, issue purposes, statuses, document numbers and the user involved, plus notes explaining what caused each entry. Sends and returns are paired, so a submittal and the response to it read together rather than as two unrelated lines.
Revisions are tracked separately against your numbering and your customer’s, which matters because the two rarely move together: a document can be at your revision C and their revision 2 at the same moment, and both need to be right on the sheet.
Projects rarely begin on the day you adopt a system. Submittals already made outside DocBoss can be entered with their real dates so the history is continuous, and cover pages and indexes then show the full sequence rather than starting from wherever you came on board.
Where your customer’s cover page or transmittal has prepared-by, checked-by and approved-by fields, those populate from the people who actually did it on that submittal cycle, including initials and signature.
