Can You Limit Project Access With DocBoss?One of the frustrating things with typical applications used for document control like Excel or Sharepoint is that they weren’t created specifically for document control.

Thus, they don’t provide specific tools and benefits that a document controller needs to properly manage projects.

DocBoss is a document control application specifically and we designed it with document controllers in mind. Case in point: Its ability to limit who can actually work on projects and the input they are allowed to have.

Perhaps you have found yourself wondering who made changes to documents. Maybe you can’t tell which document is the most recent version. You might want certain staff to have limited access to each project or you might even want to run a confidential project on a need to know basis. DocBoss can help you with each of these concerns.

DocBoss offers you a number of ways to limit who has access to projects and the changes they can make.

Not only can you decide who has access to projects, you can specifically define what each user can do within DocBoss though user levels (which we’ll discuss below).

You can also create confidential projects in the instance where you are working with sensitive or confidential information, something we’ll also discuss below.

Here are the specifics:

User Levels

User Levels: All DocBoss users are named users so to start with, you log in with your personal and private login. All changes you make within DocBoss are tracked so you can always tell who made a change(s) to a document, and when.

Further, you choose which level of access each DocBoss has from the four options we have: Admin user, Full user, Review user, and View user. User roles are default permission sets available to users. Confidential Projects

The Confidential Projects option in DocBoss enables you to create a project that is private in nature and is only accessible by certain project staff. You could use this option if a customer has information you need to protect, or if you simply need to run the project with very little access given for another reason.

Enabling this option blocks access to the project unless a user is specifically granted access to it, which can be useful in cases where the project contains sensitive information.

Admin users have the ability to grant non-admin users access to confidential projects. Admin users can also grant themselves access so long as they have the appropriate affiliate access.

User Profile

User Profile is an area in DocBoss that enables you to set specific values only for your user account, such as signature, landing page options, email notification and warnings messages.

While not strictly access per se, you will see it is an area that does references aspects of DocBoss access while also offering you options to personalize your login. It also ties into User Levels which we discussed above.

In User Settings, you can among other things, also access your Affiliates settings (if you use them), update Signatures and Certificates and many other tasks.
